Focus Design Partners is a well-established international design consultancy firm specializing in Architecture, Engineering, Design and Project Management.

We are seeking a detail-oriented and highly organized Bid Coordinator  to join our dynamic team at Focus Design Partners – Qatar office. The Bid Coordinator role currently sits within the Business Development and Marketing team. This team operates at a local and international level. This role is integral to our tendering and bidding efforts as it will play a pivotal role in managing the bid and tender process, ensuring accuracy, compliance, and successful submissions.

2.0  Responsibilities

Bid Process Management 

  • Coordinate and manage the entire bid process, from the initial identification of opportunities to the final submission.
  • Collaborate with cross-functional teams, including business development, project management, and legal, to gather relevant information for bid responses.
  • Ensure all bid requirements are clearly communicated and met.

Document Preparation:

  • Prepare and organize bid documents, ensuring accuracy, clarity, and compliance with client specifications.
  • Create and maintain a comprehensive bid library containing up-to-date information, case studies, references, and references, and project profiles.

 Quality Assurance:

  • Review Request for Proposals (RFPs) to understand client needs and expectations.
  • Conduct thorough reviews of bid responses to ensure, completeness, coherence, and alignment with the firm’s standards.
  • Work with technical teams to ensure that technical content is accurate and well-presented.

Timeline Management:

  • Develop and maintain bid timelines, ensuring that all deadlines are met.
  • Coordinate with internal stakeholders to obtain necessary information within established timeframes.
  • Anticipate and address potential delays in the bid process.

Communication and collaboration:

  • Serve as the primary point of contact for bid-related queries from internal teams and external partners.
  • Foster effective communication and collaboration among various departments to ensure a cohesive and streamlined bid process.
  • Work closely with the Business Development team to incorporate client feedback into bid responses.

Database Management:

  • Maintain and update bid-related databases, including tracking bid success rates and maintain historical bid data.
  • Utilize Customer Relationship Management (CRM) tools to manage bid-related information enhancements.
  • Seek feedback from internal teams and clients to continuously refine bid response strategies.

3.0  Qualifications

  • Minimum 4 years of experience in bid coordination or a similar role, preferably in the architectural and engineering industry.
  • Excellent organizational and project management skills, with the ability to manage multiple tasks and priorities simultaneously.
  • Strong attention to detail and accuracy in document preparation.
  • Familiarity with RFPs and bid submission processes.
  • Proficient in Microsoft Office suite and CRM tools.
  • Effective communication and interpersonal skills.
  • Bachelor’s degree in architecture, engineering, business, or a related field.
